What is Engage360?
Engage360 is an employee engagement tool designed to listen and learn from your employees at scale to improve their experience within the workplace and foster continuous growth. It’s simple for employees to be heard, for supervisors and managers to gain actionable insights in real-time, and for leadership to determine where to devote time and resources to improve and grow their company.

Why does employee engagement matter?
Engaged employees are productive employees. Research shows that companies with engaged employees are more profitable, more customer-focused, safer, and more likely to retain top talent. Top companies embed an employee engagement strategy into their culture, and regularly support employee engagement improvement opportunities.

What is an engaged employee?
Engaged employees know what they are supposed to do, how to do it, and are committed to success in their role. They embrace challenges presented in their daily work and are an active supporter of their team members. Engaged employees are also constantly working to sharpen their skills in the pursuit of continuous improvement.

Why does Engage360 ask questions so frequently?
Traditional employee surveys are based on a moment in time, with rigid questions asked year after year and benchmarked against other companies. Engage360 recognizes several challenges to this legacy approach:
- Each moment in time has a different context for everyone. At many companies, employee engagement ebbs and flows naturally through the year, with busier times and slower times. Monitoring engagement throughout the year allows leaders to recognize patterns and make appropriate adjustments.
- Getting the right data to the right leader at the right time to identify opportunities and create meaningful actions in real-time. Employees change roles, leave the company, etc. By having a constant connection with employees and a shorted feedback loop, leaders stay ahead of possible issues.
- The rigid questions used in legacy surveys provide very little actionable information. Information about whether your employees have a best friend at work may be interesting, but having that type of knowledge does very little to help leaders improve their company’s bottom line. The ability to ask actionable, industry-specific information and to review the results in real-time provides the ability to quickly implement the right changes.

Is the goal of the Engage360 survey to improve overall workplace satisfaction?
No, the goal of the survey is to support a stronger employee feedback loop to help create a stronger workplace. Engage360’s definition of a stronger workplace is a more productive workplace: One that is more profitable, experiences a lower turnover rate, and has fewer accidents, lower healthcare costs, fewer workers’ compensation claims, better customer service and so forth.

Where do I log in to my account?
You can access your account from the survey notification email that comes to your inbox. More conveniently, you can go to https://admin.myengage360.com and enter your email address and password to access your account.

Engage360’s manager dashboard does not show reports for me, why?
- You must have five (5) or more on your team in order to view reports for anonymity purposes.
- If you manage a small team, your people’s responses will then be included in the next higher leadership level reporting.
- Ensure you have selected a date range that contains one or more deployed survey questions.

What information can I view on the Engage360 platform?
Depending on your role, Engage360 will provide the access to the right information at the right time.
- Manager – Can access reporting tools for their team of 5 or more individuals. Executives can view their leaders’ team results.
- Organization Report Admin – Can access all reports for each manager in organization. Generally this includes CEO and each manager in the organization, as well as reports by gender, location, tenure, and other demographic attributes.
- Operator – Can access Accounts, Participants, Questions, and Schedules associated with the organization. Generally this includes an HR Leaders or Project Leaders.
- User – Can answer survey questions but does not have access to the Engage360 dashboard.

Where can I see my team’s engagement trend over a period of time?
To see any of the results trended over time, simply navigate to the Home section of the Engage360 platform. You will immediately see current information about your team’s survey results, including overall engagement trends over time. Detailed trend information is also available by drilling into the overall index and response rate on the home page, or through the summary report page.

How does my team participate?
Employees simply respond to a question on a consistent basis via channels they are already using, email and text message. There is no app for the employee to download and no username/password to remember. Employees just respond to an email or text to be heard! Employees do not need access to the Engage360 platform.

What does the reporting dashboard tell me?

Overall Index
The employee satisfaction score on a scale from 1 (low)-5 (high).

Response Rate
The percentage of the population responding to questions in the selected time period.

Team Size
The total number of people on a manager’s team, including all reporting levels.

Direct Reports
The number of people who directly report to a supervisor/manager.
-
Viewing As
Provides the ability to view the dashboard as another manager (also with 5 or more individuals on their team) on a senior leader’s team.

Date Range
Sets the date range of all charts shown on the report. Defaults to last 30 calendar days.
-
Schedule
Filters the reports based on the question schedules applicable team. Defaults to ‘select all’.
-
Benchmark
Allows the user to compare results to either the company’s overall average or the Engage360 benchmark.

Override Person (Report Admins only)
An additional filter for selected leaders to view specific Engage360 results for any manager in the organization.

Categories
Engage360 questions are categorized into 5 key buckets based on Maslow’s hierarchy of needs. Overall Index appears by category with the selected benchmark represented by the green horizontal line.

Your Summary
Tells managers how often the indexes from their team went above the benchmark, which is the company’s overall index.

Where do I log in to my account?

What happens if I lose my password?
If you lose your Engage360 password, there is a link on the sign-in page. Just click on the "Forgot Password?" button below the log in fields after entering in your email address and you will get an email helping you reset it.

Where are surveys delivered?
Engage360 surveys are delivered via email or text message, based on the user’s preference. Preferences may be updated anytime using the “Manage Preferences” link on the survey confirmation webpage.

How do I send a new login invite to managers?
Managers with a team size of 5 or more are automatically granted access to the Engage360 portal. The below login instructions may be shared with managers seeking to access the system: Please follow the below steps to gain access to the Engage360 manager portal.
- Go to myengage360.com/GetStarted, enter in your work email address and click the Submit button.
- Open your work email and you should see an email from noreply@mg.myengage360.com. Click the button in this email.
- Once the link is open, create your password by entering the password, confirming it, and clicking Submit.
- You will be redirected to the login page where you can now sign in for the first time using the password you just set and your work email address as the username.
Upon successful login, you will be redirected to the portal and should see the dashboard containing your Enagage360 data. -
How do I upload bulk users?
Simply organize all your employees’ relevant information in an Excel spreadsheet. Required fields include: first and last name, employee ID, email addresses, and supervisor information. Upload the file using the Engage360 platform.
- Engage360 will replace any old user information with the new file.
- Click on the “Account” tab on the left-hand side menu and select “Census Import”.
- Find an Account to Insert
- Click “Add Account to Form” next to Account name.
- Follow prompts

What is needed for the “Census Import”?
An organization Administrator can upload an employee census. NOTE: Engage360 will replace any old user information with the new file.
- Required information includes: first and last name, employee ID, email addresses, and supervisor information
- All other information is not necessary, but for reporting purposes consider including additional demographic information.
- Preferred: Department, Job Title, Gender, Hire Date, DOB, Work Address, Cell Phone, Remote/Onsite, Role (e.g. sales, service)

How do I add a new participant?
An organization Administrator can update information about a user.
- Click on the “Account” tab on the left-hand side menu and select “Account”.
- Click on the edit icon (
) next to their Account Name.
- Click on “Add a New Participant”.
- Add the relent information for the new participant.
- Important: Connect employee to their manager by clicking on “Edit Manager”. Simply search for their manager and click the plus icon (
).

After you add a new employee to the Participants list, you also must add them to a Schedule as a “Subscribed Participants”.

How do I edit a participant’s information?
An organization Administrator can edit information about a user.

How do I delete a participant?
An organization Administrator can delete a user.
- Click on the “Account” tab on the left-hand side menu and select “Participants”.

There's a couple of conditions that need to be met before we allow a manager or individual with administrative access to be deleted. (If importing a census file the system takes care of all of this.)
1) All individuals that report directly to the person need to be reassigned a new manager.
2) User's login must be "Locked Out" so they can no longer access the app. -
How do I add a new schedule?
An organization Administrator can add a new schedule.
- Click on “Program” tab on the left-hand side menu and select “Schedules”
- Click on “Add New Schedule”
- Name the schedule and select participants.
- Please note that even if a different schedule is made, the overall index will combine the schedules into one.
- Choose preferred delivery time and time zone.

How do I create a new question?
An organization Administrator can add new questions.
- Click on “Program” tab on the left-hand side menu and select “Questions”
- Click on “Add New Question”.
- Insert the question, type, and category
- Click “Save”

How do I add questions to the schedule?
An organization Administrator can add a question to the schedule.
- Click on “Program” tab on the left-hand side menu and select “Schedules”
- Click on the edit icon (
) next to the pre-made schedule
- Click on the day you want a question to deploy.
- Enter the start time and expiration (recommend 1 day)
- Then select the question.
- Click on “Save”.

How do I postpone or suspend survey questions?
In the survey calendar, just click on the question you would like to pause and select “Suspend”. This will prevent the survey question from being released. You can unsuspend the question any time before the time the question is scheduled.

How do I delete a survey from the survey history?
If you no longer want to have the data from a survey saved in your account, you can reach out to our Support Team with the name of the survey and the date it was sent out, and we will be happy to remove it from your organization's account.

How do I set the survey expiration timing?
By default, each survey question will expire 24 hours after it is sent. Organizational Administrators can update the expiration timing of any question at the time it is scheduled.

Can I update a survey question already scheduled?
Organizational Administrators can manage the Engage360 survey questions on the platform by going to the Schedule page.
- Future survey questions can be either “Suspended” or “Moved to Today”.
- Settings can NOT be changed per survey question after initially scheduled.
- Example: If you decide after scheduling a question to say, allow employees to add comments, you must first “Suspended” the initially scheduled question and add a new question.

How is supervisor information associated with employee responses in Engage360?
In Engage360, employee responses are linked to their supervisor as recorded in the Engage360 census file at the time the question was sent. This means that the responses will permanently be associated with that specific supervisor for future reporting, ensuring a consistent historical data trail.

What happens to the Engage360 responses if a supervisor changes or leaves the company?
If a supervisor changes or leaves, the Engage360 responses previously given under that supervisor remain associated with them for historical and reporting purposes. When a new supervisor comes in, they start with their own set of Engage360 responses and data, beginning from the time they assume their role.

Are previous Engage360 answers lost when a new supervisor takes over?
No, previous Engage360 answers are not lost. They remain in the system and are associated with the former supervisor. These historical data points continue to be accessible for higher-level analysis and reporting, providing insight into team dynamics and performance over time.

How does Engage360 handle reporting for teams with changed supervisors?
Engage360 maintains a record of all responses linked to the specific supervisors at the time those responses were provided. This means that for reporting purposes, even if a supervisor changes, the answers given under each supervisor's tenure are preserved and reported separately. At higher levels of reporting, such as department or company-wide analyses, all responses are aggregated, including those from previous and current supervisors.
Examples
Example 1: If John, a team member, answered a survey on March 1st when his supervisor was Jane, this response is tied to Jane in the system. If Jane leaves the company on March 15th and is replaced by Mike, all future responses from John will be associated with Mike. However, John's responses from before March 15th will still be linked to Jane in historical reports.
Example 2: Sarah’s team was supervised by Alex in 2023, and during that time, her team provided specific feedback through Engage360. In 2024, Alex is replaced by Chris. The feedback from 2023 remains associated with Alex, and any new feedback provided under Chris’s supervision in 2024 will be associated with Chris. For a company-wide annual review, the system will include feedback from both periods, showing a comprehensive view that includes the tenure of both Alex and Chris.
